Privacy Notice
A plain-language overview of how SpicaNova AI handles product data during early access.
What we collect
SpicaNova AI connects to the accounts you authorize, such as Gmail, Outlook, Slack, WhatsApp, Notion, Stripe, or Attio. Depending on what you connect, we may process email content, sender and recipient metadata, message threads, drafts, approval actions, reminders, profile preferences, and integration metadata.
We also store product account details, authentication records, connection status, usage events, and support messages you send us.
How we use data
We use your data to provide the product: syncing inboxes, evaluating importance, generating draft replies, remembering preferences, routing approvals, creating reports, and answering your questions inside the app.
We do not sell your personal data. We do not use your private mailbox data to train shared foundation models.
AI processing
Some tasks are sent to AI providers so the app can score emails, draft replies, summarize context, or generate reports. We send only the context needed for the requested task.
Human approval remains the default for outbound email behavior. The app is designed to draft and ask before sending unless you explicitly configure a different workflow later.
Every automated action the app takes is logged with the reason behind it, so you can review what was done and why — and reverse it where applicable.
Autonomy & control (act / ask / escalate)
SpicaNova follows one rule: it acts on safe operational work silently, asks for your one-tap approval before anything reaches a person, and escalates real judgment calls — and it always tells you why.
Act: filing, labeling, and updating your private relationship graph happen automatically. Each is logged and reversible. Ask: anything that reaches a person (a reply, a meeting) is drafted in your voice and waits for your approval — nothing sends on its own.
It surfaces an email for your approval when its importance scores at or above a set threshold on a 0–10 scale; below that it is filed quietly so your inbox stays clear. Every surfaced item shows the reason it needs you, and every approve/reject is logged with that reason, so you can always review why an action was taken. You control exactly how much runs automatically from Settings → Agent capabilities.
Storage and retention
Application memory, connection records, draft history, and learned preferences are stored in Supabase. Integration tokens are encrypted before storage.
You can request deletion of your account data by contacting us. Some operational logs may remain for a limited period for security, debugging, and legal compliance.
Cookies
We use only strictly-necessary cookies — the secure session cookies that keep you signed in. We do not use advertising or cross-site tracking cookies, and we do not run profiling analytics, so no cookie-consent banner is required.
Your theme and font preferences are stored locally in your browser (local storage), not in a cookie, and never leave your device. If error monitoring is enabled, it processes diagnostic data to keep the app reliable and is configured not to capture your message content.
